Minutes for 8/07/2018 Board Meeting

 

Board Meeting Minutes, Tuesday, August 7, 2018, Room 3, Odell Weeks at 6:00PM

In attendance were Jim Kabel, Nancy Vermilye, Faith Loeb, Ron Nelson, Chuck Wright, Chuck Buchanan, Mike Beckner, Jeff Beckner, Linda Blake, Lisa Sanderson, Sandy Rowder, Joyce Noland, Beverly Edwards, Beverly Shaver, Marian Garcia, Barb Dellamora and Nancy Racki.

 

2018-2019 Leadership Position Update

  • Jim Kabel reported on the positions that have been filled for the 2018-2019 year and which positions still need to be filled.  Nancy Vermilye distributed a handout which indicated those positions which have been filled and those that still need replacements.
  • Joyce Noland has kindly agreed to replace Jim Kabel as co-leader with Nancy Vermilye.
  • Until a replacement is found, Lisa Sanderson will continue on with Social Activities.
  • It is the desire of the current leadership team that all unfilled positions be in place by September.

 

Leadership Job Description (Position Responsibilities)

  • Jim Kabel expressed that he would like documentation from each of the leadership team members.
  • Jim Kabel will resend the “Pickledilly Leadership Team – Responsibilities” email that he had sent out earlier as not all of the team members received one.

 

Ratings 4.0 and Above

  • The current raters for Aiken Pickledilly players 4.0 and above are Mo Garcia and Tony Quick.  The 4.0 rating process in Aiken is primarily to benefit players for our designated court times at Odell Weeks.
  • Those 3.5 and 4.0 players participating in tournaments will obtain an official USAPA rating. Non-tournament players wishing a 4.0 level designation for Odell Weeks court designation usage should have a system in place on par with an official USAPA rating method.
  • Jim Kabel will contact Tony and Mo about a possible committee approach, or other solution, toward a consistent 4.0 ratings process for the few instances a year where an individual requests an in-house 4.0 rating.

 

Player Rep. Communication as players “move-up” (Welcome! Future Contact)

  • Faith Loeb suggested that player reps have communication with new players who have moved up into their respective rating groups.
  • Mike Beckner suggested that we notify “new” players as to who their player rep is.
  •  Joyce Noland suggested that more of an effort needs to be made for player reps to introduce themselves to new players.   Additionally, player reps need to inform the player list monitor(s) when a player moves up to a higher rating or are gone in order to keep our list of players updated and current.

 

Tournament Update

  • Jim Kabel contacted Lisa Miner for updated information on our tournament.  He stated that Sally Fuller is no longer assisting Lisa Miner with the tournament.
  • Currently, there are approximately 180 players, or more, registered for our tournament.
  • There is a need for volunteers such as:  Monitors, referees, lunchroom, registration desk, distribution of bananas and water.
  • Jim Kabel stated that Lisa Miner will be sending an e-blast seeking volunteers.
  • Nancy Vermilye encouraged us to talk up the tournament with our players and the importance of volunteering.

 

Sign-up Genius – Odell Member (carry-over from July meeting)

  • It was decided to delay discussion on this issue until the September meeting.

 

Suggestions for Community/Friends Pickleball Night before Tournament

  • It was suggested that players could bring a friend to play one evening.
  • Pickledilly volunteers working the tournament registration desk could also collect email addresses from friends/observers and provide an information handout and offer an evening to play pickleball.    
  • It was suggested was that our September social could be an opportunity to bring a friend to play pickleball and include them for our potluck dinner.

 

Start Times for Monthly Meetings

  • A discussion was held regarding changing the monthly meetings time from 6:00PM to 5:00PM.  Nancy Vermilye stated that she cannot arrive at the meetings any earlier than 5:30PM due to outside obligations.  A compromise was reached and the meetings will now be held at 5:30PM.      

 

Basketball Nets – Complaints

  • The adult summer basketball program is basically over at Odell Weeks so the issue of raising the basketball nets (by the maintenance staff) at the noon hour for pickleball players who reserve courts will be addressed before the program begins again next summer.
  • Mike Beckner is willing to meet and discuss gym issues with Kim Coleman of the City of Aiken Recreation Department.

 

Slippery Floors

  • It was reported to the front desk that there was a slippery area between Courts 1 & 2 which resulted in a player(s) slipping and/or falling.  The City addressed this problem and requested that our players now carry court dividers rather than drag them.  The City felt that it was the dragging of these dividers that may have contributed to the slick area(s) on the gym floor.
  • Mo Garcia has devised an accordion style PVC barrier that can be easily folded by one person.  This potential barrier may be evaluated for use.

 

Eustis Park – August 30th

  • A Community Celebration at Eustis Park is scheduled for August 30th.  It was requested that the Aiken Pickledillys be present to demonstrate the game of pickleball on the outdoor courts
  • Chuck Buchanan will follow up and obtain players for the demonstration.

 

Inconsiderate Players

  • Jim Kabel stated that he was aware of incidents between players - usually during morning play.   
  • Since a number of player reps do not play during the morning session, Joyce Noland suggested that a “Morning Player Rep” be considered and present to help during morning play.
  • Joyce Noland suggested that for players to recognize a player rep that the reps introduce themselves to the players in their skill-level groups or otherwise devise a way to signify that they are a player rep.  

 

ACTS – Thursday Food Pick up – Success!

  • It was announced that the request for help with picking up food from Sam’s Club and delivering it to ACTS on Thursday mornings was a success.  Generous Aiken Pickledillys volunteers have stepped up to the plate to help.

The meeting adjourned at 7:16PM.  The next leadership meeting will be held on Tuesday, September 4, 2018 at 5:30PM at Odell Weeks.
