February 2026 meeting minutes

Minutes from the Leadership Team Meeting on Monday, February 2nd, 2026, in room 4.

Members Present: George Carr, Dean Cheatham, Jordyn Balba, Chrissa Matthews, Rochelle Bergren, Mo Garcia, Marian Garcia, Lori Comshaw, Linda Blake, Heidi Abele, and Marcia Stivanson

 

I.      Unfinished Business – Jordyn

A.    MOU (The following additions were approved by Bret after last month’s meeting (1/9/2026) to include 12 meeting dates (one per month and up to 4 special events/socials as approved by PRT and subject to availability.)

B.    Shoe brushes will be installed on outdoor courts after the courts are resurfaced, which is scheduled for the spring (maybe May/June).

C.    Outdoor court benches will be secured by the city after the courts are resurfaced.

D.    Outdoor courts signage utilizing a QR code to inform the public about API and more pickleball opportunities and/or for court rules were not approved by the city for placement. 

E.    The outdoor restrooms have been completed and are opened!

F.     The city has committed to asking maintenance to blow the outdoor courts off. 

G.    The wind screens/breakers on the courts will be reversed to the outside of the fence. The city is checking to see if they are going to handle this or if API can. We should have a response soon. Once they are reversed, players can hang their bags wherever they want on the inside of the fence and prevent damaging the screens. Players may need to remind other players to be courteous with bag retrieval. 

H.    Current leadership team vacancies include a Smith Hazel player rep, website manager, and a backup for Matt when he is unavailable. It was suggested that these two positions could be combined into one and that due to a lack of finding someone to do it, maybe it could become a paid position. This will be looked into further as we continue to look for a volunteer. 

I.      Palmetto Tournament :

     *  The missing rally nets were located. By the time of the tournament, we will need to have most of the nets replaced. This is typically handled by the city through Alison and      Seth, but API could handle if needed. 

  • Nan, Peggy, and Nelson are willing to take on a stronger volunteer presence. They will manage the event desk and tournament software.
  • We will start looking for a tournament director and provide mentorship as needed. 
  • The big challenges are software related, but we have a team ready to take it on. 
  • We need to have a meeting strictly related to the tournament for what is needed, get our plans on paper, and communicate these areas with the rest of the team. 
  • It was suggested that we start looking early (NOW) for volunteers. 
  • Sign up for the tournament by players should be opened by April – giving them 3 months to plan for travel, hotel reservations, etc., if coming from out of the area. 
  • Sponsors should be contacted ASAP – typically need to be contacted by November of the previous year to plan for their next year budget.
  • SUG volunteer and referee list needs updated. George will go in and update the dates and get it ready to roll out.

J.      The new website is ready to launch. We are just looking for someone to monitor and run it. Training will be provided by the developer and then the volunteer will just maintain the site by adding new information as needed.

II.    New business – Jordyn

A.    It has been asked if we can change the meeting to be held at the end of the month rather than the first Monday. This will most likely happen for the March meeting. Rochelle will work on rescheduling the reserved room from March 2 to March 30 and will let everyone know.

B.    Last month’s recreation commission meeting was attended by Mo and Jordyn. API will ask to present during a future meeting. 3 representatives of the junior sector were present at the meeting and were interested in bringing pickleball to their schools.

C.    Survey results were discussed and shared with the leadership. As of Sunday, there were 56 players who had taken the survey. The survey will be open for responses through February 28, 2026, and will be discussed further at the March meeting.

D.    Court reservations: 

- A concern was brought to the board in January regarding court reservations and some groups not abiding by the rules. The court reservation process was monitored throughout January following this concern and valid questions were noted. 

-  A main concern for court reservations revolves around the lack of a backup person to help maintain the SUG site.

- A second concern is if API is upholding the mission statement and whether the current court reservation process meets everyone that API serves. 

- This discussion will continue at the March meeting.

 

The meeting was adjourned at this time to celebrate the retirement of George Carr, Brian Eberhardt, Jay Wilson, and Cheryl Breidenbach.
